What to Ask Your Event Data Before During and After

Every event team I meet is buried in data. Registrations, session logs, badge scans, survey exports.

But almost none of them act on it. Sometimes the reporting is broken, and the numbers are a pain to pull. Other times they come out fine but sit in a dashboard nobody opens.

The reason is the same either way. Event teams are stretched thin, and analytics isn’t everyone’s strong suit. So even when the data is right there, nobody has the time or the resources to turn it into a decision.

Closing that gap no longer takes an analyst. Some event tech platforms have shipped MCP servers, so you can connect your event data to an AI tool like Claude or ChatGPT and ask questions about your event in plain language. Here’s how to use that, plus a few other ways to get from a number to a decision.

vFairs MCP

Before – Catch Trouble Early

Once you’ve set up your MCP connection, start using it as early as opening up registration.

Ask how registration is tracking against this time last year. If sign-ups from one segment are lagging, you’ll catch it early enough to send another push and close the gap.

During – The Live Event Advantage

The bigger shift is that it works while the event is live. As each session opens and attendees check in, you can ask what’s filling up and what isn’t, like “Which sessions happening right now are under 40% of expected attendance?”

That gives you a chance to salvage the session while it’s live, pulling attendees in with a quick notification, rather than spotting the gap in the debrief.

After – Prepare for Future

Once it’s over, the same data helps you set up for the next one.

Type in “Compare registrations and show rates this year to last by region, and flag any segment down more than 10%.” The answer highlights which markets slipped, so you can shift next year’s marketing spend toward them instead of guessing where the drop-off was.

Look Past the Headcount

Now that asking is this easy, the question becomes what to ask about. Most teams still find comfort in reporting attendance, but that number only tells you people showed up, not whether the event worked.

The signals worth watching:

  • Dwell time at booths and sessions
  • Demo requests or meetings booked on-site
  • Orders placed and job applications submitted
  • Whether an attendee came back on day two
  • Content downloads and resource-link clicks

These used to take an analyst to assemble. Now they’re a question away.

Don’t Forget Who Didn’t Show

There’s one more blind spot worth closing while you’re at it.

Attendance and surveys only capture the people who showed up, never the ones who didn’t. If your improvement plan rests on a post-event survey, you’re only hearing from people who already bought a ticket. That’s survivorship bias.

So ask the other side as well. Survey the people who saw your marketing and didn’t convert. Ask what stopped them. Treat your attendees as retention data and your no-shows as growth data.

Turn Behaviour Into Proof

Once you know what to ask and who to ask, the last step is proof. Sponsors and leadership fund what they can see, and behavioural data is what makes that report possible.

vFairs Smart Badges

Before, this took a clipboard, a scanner, and a lot of hope. Now, it runs passively. Tools like smart badges capture booth visits, dwell time, foot traffic near a sponsor ad, and session attendance automatically, with every interaction tied to a named attendee.

This way, you can price a booth on real footfall, hand a sponsor dwell-time data instead of a guess, and make a renewal a data conversation.

Just Connect & Ask

The event teams winning now move fast from question to answer to decision. When the data is one plain-English question away, acting on it stops being a roadblock.
